CLIENT SERVICES ASSISTANT

We are currently looking for a Client Services Assistant of at least 2 years PQE to join our Facilities Team in Luxembourg.

Candidate Summary

You have at least 2 years of experience in a customer service/partnering environment; customer-focused.

You have excellent IT literacy to include all MS Office packages

Ideally you have Health and Safety qualification and Fire Warden Training.

You have strong organizational and communication skills.

You have ability to handle conflicting demands and/or challenging pressures for resources.

You are committed to delivering a high level of customer service.

You are approachable and adaptable.

You are flexible in attitude and working hours.

You are fluent in French, English and German, Luxembourgish would be an asset.

The Opportunity

You will be in charge of the reception which includes but is not limited to:

  • Welcoming clients and answering incoming telephone calls in a professional manner.

  • Dealing with enquiries from internal and external clients.

  • Taking and relaying messages (ensuring that lawyers and clients receive thosebmessages promptly, particularly if they are out of the office).

  • Maintain a log of outgoing/incoming couriers and hand deliveries.

You will assist our Workplace Manager which includes but is not limited to:

  • Coordinate the office requirements for stationery and pantry supplies, filling, scanning and printing jobs etc and assist him with prioritising tasks and liaising with the PAs and fee earners.

  • Assist the Workplace Manager with arrangements for building access / security passes, deliveries, parking and other infrastructure matters.

  • Assist the Workplace Manager for invoicing of some providers.

You will deal with Health, Safety & Environment matters which includes but is not limited to:

  • Monitor the working environment in order to adhere to relevant health and safety standards, including correctly recording and reporting hazards/accidents.

  • Assist with First Aid and Fire Warden provision.
